Calculation Routine

It is essential to run the 'Calculation Routine'

The 'Calculation Routine' is a central function in processing your payroll.  In a multi-user environment that make sure that when this no-one has the payroll open on any other terminal.

When? :

The 'Calculation Routine' need only be run once in a period, but can be run as many times as deemed necessary.  As a minimum the routine should be run at the completion of processing, before finalizing the period, or :

after processing data

making changes in the Employee Masterfiles

when changes are made to history data

before printing reports

before doing a period end procedure

As a precaution Belina PayrollHR has a simple method of warning you when a 'Calculation Routine' should be run.  When you see the following icon you need to run the routine before finalizing the period:

Whilst the Calculation Routine is running the following message is displayed:

When individual tax amounts are being calculated it shows each employee being calculated:

Calculation Routine - Progress Bar

At the completion of the routine a completion screen is displayed showing the time it took to calculate and if necessary giving warnings and access to the related report.

Calculation Routine - Message

Why is it necessary to run the Calculation Routine? :

Calculations on all the Transaction Codes are refreshed

Leave days are accrued (leave days accrue once - during the first time the Calculation Routine is run in a period)

Where? :

The 'Calculation Routine' option is found under the 'Process' menu, or simply click on the 'Calculation Routine' Icon (shown above) to run the routine.

Compute Button

Whilst the Compute Button is useful to see computed results on a payslip, It is not sufficient to have pressed the 'Compute' button when processing an entire payroll.  The Tax Calculation routine should still be run.

The Calculation Routine may be run as many times as necessary without any adverse impact on any of the transactions or balances.  The length of time taken to do the calculations is proportional to the number of employees being processed and the computer processing speed.

Calculation Routine Errors

When running the calculation routine rarely a calculation routine error is displayed once the calculation routine has been completed.  To obtain further information about the error/s:

Go to the 'Data', then 'Support Menu' then 'Calculation Routine Errors' menu options

A report is then displayed which gives detail about the error/s.  Make the necessary corrections and re-run the calculation routine.  If you have difficulty contact Belina for support.
