Installation

Most often, it is Belina support staff that install the Belina PayrollHR software onto your computer, or network server. In exceptional circumstances you may need to initially install the software yourself, but more commonly Belina do the initial installation and you may just install future software updates.

The initial installation includes Belina PayrollHR Payroll, Belina Human Resources (Central and Inspire versions), the Belina Time Control and Belina Connect modules and the SQL database. Each of these modules is activated by purchasing registration. The Belina PayrollHR Connect Module is mostly used as a cloud-based system but can be hosted on-site.

Download Installation Software

Belina support personnel almost always do the initial Belina PayrollHR installation from an installation set that is prepared for technicians. This installation includes both Belina PayrollHR software and the recommended version Microsoft SQL Express. Subsequent software updates are mostly downloaded from the Belina website and installed.

To install an update download the file from the Belina Website. To do this follow the steps below:

Load the 'Resources' page on the Belina Website:

Select the Update required.

The Update button directs the User to 'Dropbox' where the update is stored. Press 'Download', then select the destination folder into which the update will be installed. If you are not sure where the original program is installed you could go to the desktop, look for the Belina Payroll icon, right click on the icon. Go to the 'Properties' menu option and contents of the field 'Start In' will describe where the program has been installed. Alternatively contact Belina for support assistance.

Once the file has been downloaded, select and run it. Microsoft Defender may try to prevent you from installing the upgrade. Press 'More Info' and press 'Run anyway' and allow changes to made to your PC if requested.

Select the Installation Folder (normally Program Files) and press 'Install':

The installation then goes ahead with a progress bar indicating progress being made.

Running the Installation/ Registration

•Once the installation procedure has been successful you will notice a Belina icon on your desktop.

Double-click on the icon to have the login screen appear. Enter the Belina default login details:

User ID:	User
Password:	password
Server:	Name_of_your_computer\BELINAHRV2 (it comes out automatically)

NOTE: these login details should be changed as soon as possible for security of the information.

By default, Belina PayrollHR goes into demonstration mode. The following screen appears which allows the entry of your registration details. Full access is allowed once these have been entered. Call Belina Time Systems (Private) Limited for the details, then click 'Register'.

Type in the registration details into the form . Once these have been entered press 'Tab' on your computer keyboard which should then show whether the system is 'Registered'. If the details are not complete the system will remain 'Unregistered'. When you have successfully entered the registration details a green tick appears on the registration Window:

Networking

Belina PayrollHR is a fully networkable solution. No additional data sets or costs are involved in making the software available to all the users and staff throughout your organization. If the payroll is networked and processing is to be done by more than one person we recommend the use of a 100mps hub with 100mps network cards in each computer. Peer to peer networking can be done on smaller payrolls only.

Payroll Personnel

To get full advantage of Belina PayrollHR make sure that that the staff are fully trained to know the system well.

Ensure that payroll personnel:

•	have been well trained, or are well conversant with Belina PayrollHR and the Labour Laws and regulations that apply in the country and industry in which your organization is operating

•

take reasonable effort is taken to check the results of data processed. Select one employee, or more, each period for thorough checking. It is especially important to go through the Tax Display. This is an effective means of ensuring that your payroll has been setup to produce the correct results. This is especially important when there has been change like at the beginning or end of the tax year or if the tax year has been split. In large payroll environments this checking should be done by a payroll supervisor independent of the payroll processing staff.

•	take backups every period, before the period end is done. The backup for each period should be kept and not overwritten.
