Stages in implementing the Belina Time Control Module and Terminals are :
STAGE 1
Identify:
•a suitable candidate to act as a System Administrator
•the existing time controls
•areas where strengthened time-keeping can be of benefit to the organization.
•reporting requirements
STAGE 2
Terminal positioning and mounting
STAGE 3
Install the Belina Time Control Module on the computer that is to be controlling the terminal/s.
Train the administrator:
- Introduction to the Belina PayrollHR software including how to capture employee names and details into the system.
- Setup the Slots, shifts and rotations and apply to each employee.
The administrator is then left to capture the remaining employees into the Time Control Module
STAGE 4
Having captured the employee names the synchronization procedure is then done to transfer captured names and details to the terminal/s.
•Work commences on capturing fingerprints/ facial records.
•Training is done with employees to show them how to Login at the terminal
•Testing is done to ensure that the employees are able to successfully login.
The administrator will then continue to capture the full extent of the employees. Employees will commence clockings to enable them to become familiar with the system. The duration of this familiarization process depends on how quickly the employees take to using the new system.
STAGE 5
Start downloading terminal data from the terminal/s to the Belina Time Control Module using the network or Flashdrive (Memory Stick)
Run a Calculation Routine
Start viewing reports
See which employees are struggling with the log-in procedure and need further training and instruction.
Adjust Slots, shifts and rotations where necessary.
Process time adjustments to the data where necessary. This includes filling in any missing clockings.
Obtain approvals for overtime, leave and other entries.
STAGE 6
Export times to Excel, or directly into the Payroll Module for further processing.
Print summaries
Email reports to line managers and others that need access to time information.
STAGE 7
Process Payroll
Backup
Period end
STAGE 8
The system is then handed over to the client who then runs the system taking advantage of telephone and email support that is available from Belina.
