Export Data – to Belina Payroll

Data can be exported from the Time Control Module without any manual handling into the Belina Payroll Module.  Before doing any exports make sure that all time clocking records have been properly processed, authorised and any necessary adjustments have been processed.  

Note: there are two exports one for leave and the other for times worked.

The time export from the Time Control Module becomes an import into the Belina Payroll Module.  To do the export/ import:

Open the Payroll Module

Go to the ‘Utilities’, ‘Imports’ and then ‘Time Management’ menu options

A warning recommends that a backup has be done before the import is processed.  Click ‘Yes’ to proceed.

‘Source Type’ – by default ‘Belina Time Management’ is selected. In this instance we are importing from Belina Time Control Module, so this selection remains.

‘Options’ – ‘Standard Times’ is the default selection for imports from the Belina Time Control Module, so this selection remains.

Click ‘Open’ to open the import records.

A range selection screen displays to enable you to select an import by selected category, example, department, cost centre or paypoint as a range or by selection.

A window displays showing the times that are to be imported.  There are a number of categories of transaction.

Hours Worked Type

The times were generated from the biometric clock.

Shift Hours

The number of shift hours.

Total Hours Worked

The total number of hours worked both within and outside the shift.

Shift Hours Worked

The number of hours worked within the stipulated shift hours.

Extra Time

Hours worked outside shift hours. This could be set to exclude early clock in times.  

Overtime Authorized

The number of overtime hours authorized.

Overtime Unauthorized

The number of overtime hours that were not authorized and will not be paid.

Overtime Worked Shift

The number of hours overtime that has been worked after the completion of shifts.

Overtime Worked Weekend

The number of hours overtime that has been worked on weekends.

Overtime Worked – Off Day

The number of hours overtime that has been worked on off-days (when the employee was scheduled to have a rest shift).

Overtime Worked – Holiday

The number of hours overtime that has been worked on holidays.

Short Time

The number of hours short of the full shift hours.

Night Shifts

The number of night shifts worked.

Night Shift Hours

The number of hours worked on night shift.

Overtime 2.0

The number of overtime hours worked at the 2.0 rate.

Overtime 2.5

The number of overtime hours worked at the 2.5 rate.

Click ‘Next’ to allocate data fields to Transaction Codes:

To Assign a field to a Transaction Code:

Click on a selected ‘Time Management Import Field’ in the left panel, then

Click on the corresponding ‘Payroll Transaction Code’ in the right hand panel, then

Press ‘Assign’.  

Notice that the assigned Transaction Code is recorded against the Import field in the second column in the left hand panel ’= Import To Code’.  It may not be necessary to assign all the Time Management Import Fields to a Transaction Code.  

Once the necessary fields have been assigned press ‘Import’.

Press ‘Yes’ to continue.

The import will then happen.  You can now go to ‘Payslip Input’, select a sample of employees, to check that the transactions came through as expected.
