Once the Setup menu has been completed, you can save time, when setting up employees for the first time, by applying settings in bulk:
To do this:
•Go to the 'Edit' and then 'Bulk Employee Master Update' menu options.
•Enter the shift information in the fields displayed
•Select the group of employees to change by clicking the 'Employees' button and using the range selection facility provided.
•The selected employees with be detailed in the bottom section of the screen.
Use Time and Attendance |
The employee could only be using the terminal for Access Control. In this case remove the tick so that times recorded on the terminal are not sent through to the Time and Attendance time card. |
No Payroll Processing |
The employee could be using the terminal for to record Time and Attendance data which is then compiled and exported to a third party payroll software. If this is the case place a tick in the check-box. This ensures that the employee is not included in the Employee Count for the Belina PayrollHR Licence. |
Hours Worked From |
Use the dropdown menu to select one of the options: Clocking: picks up time downloaded from the biometric terminals Shift: picks up times from what had been scheduled on the shift setup. Manual: all times are entered manually into the system. |
Export Times As |
When an export is done there you can have the times exported as Actual Hours or as Shorttime/ Overtime |
Shift Rotation |
The rotation that applies to the employee. |
Shift Based Date |
The rotation of shifts carries on indefinitely and may not always start on a regular day of the week or month. Enter one date in the calendar when the rotation actually started. The system will then this base date for future rotations. |
Eligible for Overtime |
Some individual employees are not eligible for overtime e.g. managers. Remove the tick if overtime does not apply. |
Overtime Payment |
Choose whether overtime is to be paid out or whether overtime hours are to be added to the leave balance. |
Flexitime |
If the employee does not work a standard shift rotation then place a tick in the check-box. |
Work Public Holidays |
In a situation where employees do not come to work on a Public Holiday place a tick in this check-box which means that the system will not expect to receive a clocking on that day and therefore not deduct shorttime. |
Use Access Control |
A terminal may be controlling a turnstile or other access control mechanism. If this employee does not have access then remove the tick in this check-box. |
Outside Clocking Range of Shift |
Putting a tick in the check-box allows the Employee Access outside the parameters that have been setup for the general employee. If the tick is removed and hours entered into the 'From' and 'To' fields then access will only be allowed, for that employee, in the hours selected. |
Shift Days Only |
If the employee is only allowed access for shifts, according to the rules setup for the shift, then place a tick in this check-box. |
Click in the check boxes to select the option that you want to change then on the right hand side of your Bulk employee master update window select the applicable option on the Field value e.g "Yes" See picture below.
Continue to select the options you want to change till you are through and then Click OK. See picture below
On the range selection Window you have got several options you can use as selection criteria for example, click on employee to select a number of employees in any particular order or click on occupation if you want to apply the selected settings to employees of belonging to a particular occupation. In the example shown below we are using departments as a selection criteria.
Select the department with employees whom you want apply the settings and "Click OK".
Click on "OK" to start applying the settings on the employee.
Click on "OK" after system confirmation that the process was successful.
